SUMMARY OF DUTIES:

 

 Provides administrative and clerical support to the Assistant Superintendent, coordinates the flow of administrative actions and communications to and from the Assistant Superintendent’s office; communicates with the public; receives questions raised by the public, division personnel, and agencies; works effectively with all stakeholders.

 

ESSENTIAL FUNCTIONS/TYPICAL TASKS: 

  • Organizes and coordinates the workflow through the Assistant Superintendent’s office
  • Independently composes correspondence, reports, memos, and other materials
  • Maintains organized files and records (paper and electronic)
  • Assists with federal grant management
  • Maintains the assigned budget related to the duties of the Assistant Superintendent
  • Acts as a liaison between school/central office staff and the Assistant Superintendent
  • Coordinates the Assistant Superintendent’s calendar, scheduling meetings, appointments, and ensuring timely follow-up on important tasks and events
  • Schedules and provides materials for division level meetings.
  • Communicates effectively, orally and in writing
  • Maintains effective working relationships with staff and with the general public
  • Maintains a high level of confidentiality and professionalism
  • Provides Notary services as needed
  • Performs other duties as assigned by the Assistant Superintendent

KNOWLEDGE, SKILLS AND RESPONSIBILITIES:

 

Must possess a combination of experience and training demonstrating the ability to effectively perform essential job duties. Must demonstrate knowledge of office machines and general office functions.  Must demonstrate the ability to effectively interact with children, their parents and the general public.  Must be able to maintain confidentiality.

 

Language Skills: Must be able to communicate effectively with a variety of persons, verbally and in writing.  Must be able to read and interpret directions, follow instruction and relay information to others in an understandable manner.  Must be able to draft routine correspondence and reports.

 

Mathematical Skills: Ability to calculate figures and amounts as required for balancing checkbooks and maintaining spending accounts.

Reasoning Ability: Ability to apply common sense understanding to carry out simple one or two step instructions.  Ability to deal with standardized situations with only occasional or no variables.

  

QUALIFICATIONS/EXPERIENCE:

  • A minimum of five years of administrative assistant experience in an educational setting (central office experience preferred)
  • Proficient in the use of Google Suite, Microsoft Office, Student Management Software, and finance/purchasing software
  • Ability to complete charts/graphs, mail merges, and data sorts using Microsoft Excel and/or Google Sheets
  • Experience with verbal and written communication to stakeholders

Duties performed typically in settings to include: Central/City office and schools/departments
throughout the division/city. Job is primarily sedentary work. Occasional walking, stooping, standing, squatting, lifting, up to approximately 30 pounds, and occasional lifting of equipment and/or materials weighing up to approximately 40 pounds may be required. Other limited physical activities are required. Vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels. Visual acuity is required for preparing and analyzing written or computer data, determining the accuracy and thoroughness of work, and observing general surroundings and activities. The worker is subject to inside environmental conditions. Regular contact with city/school employees is required.

WORK ENVIRONMENT:

EVALUATION:

 

Performance on this job will be evaluated in accordance with school board policy and administrative regulations on evaluation of personnel.  

 

SALARY:

Salary is $16.28 - $30.47 an hour, depending on experience.  Benefits are also provided.
